Project Aidra Privacy Policy

Project Aidra, LLC (“Project Aidra,” “we,” “us,” or “our”) is committed to protecting the privacy of our users (“you” or “your”). This Privacy Policy describes how we collect, use, and disclose information that we obtain about you through our website, platform, and other services (collectively, the “Services”).

1. Information We Collect

We may collect information about you from a variety of sources, including:

  • Information You Provide to Us: We collect information that you provide directly to us, such as when you create an account, fill out a form, request customer support, or otherwise communicate with us. This information may include your name, email address, postal address, phone number, and any other information you choose to provide.
  • Information We Collect Automatically: When you use our Services, we may automatically collect certain information about your device and usage, such as your IP address, browser type, operating system, device identifiers, pages visited, and referring URLs. We may also collect information about your location.
  • Information We Collect from Third Parties: We may collect information about you from third-party sources, such as social media platforms, data providers, and marketing partners.

Our AI platform collects limited personal data necessary to provide its services, including user input and interaction data. All such data is anonymized. Project Aidra does not train or fine-tune the underlying AI models used on our platform (including large language, computer vision, and OCR models) — those models are developed and maintained by our third-party AI providers, and Project Aidra has no access to adjust their weights or training data. Anonymized data is reviewed by our team to identify accuracy issues and inform updates to our own system prompts, business rules, and product features; it is never used to train third-party, foundational, or publicly available AI models. We do not sell or share your personal information with third parties without your consent, except as required by law or as described in Section 6 (Business Transfers). You have the right to access and request deletion of your data associated with your account.

2. How We Use Your Information

We may use your information for a variety of purposes, including:

  • Providing and Improving the Services: We use your information to operate, maintain, and improve the Services, to personalize your experience, and to provide customer support.
  • Communicating with You: We may use your information to send you emails, newsletters, and other communications about the Services, new features, and other updates.
  • Marketing and Advertising: We may use your information to send you marketing and advertising communications about our products and services, enhancements, updates, or the products and services of our partners.
  • Research and Analytics: We may use your information for research and analytics purposes, to understand how users interact with the Services, and to improve our offerings.
  • Legal Compliance: We may use your information to comply with applicable laws and regulations.

3. How We Share Your Information

We may share your information with the following third parties:

  • Service Providers: We may share your information with third-party service providers who perform services on our behalf, such as hosting, data analysis, email delivery, and customer support.
  • Business Partners: We may share your information with business partners who offer products or services that may be of interest to you.
  • Legal Authorities: We may disclose your information to legal authorities if required to do so by law or in the good faith belief that such disclosure is necessary to comply with a legal obligation, protect and defend our rights or property, or protect the safety of our users or the public.

4. Data Anonymization

When sharing your data with third parties for the purposes of performing our services (e.g., with data analysts), we anonymize the data to remove personally identifiable information so it cannot be linked back to you.

5. Data Retention

We retain your information only for as long as necessary to fulfill the purposes for which it was collected, or as required by applicable laws and regulations.

Even after your data has been deleted from your user account, Project Aidra may retain anonymized data to review the accuracy of AI-generated outputs, inform updates to our system prompts and product features, and meet financial, audit, and legal recordkeeping requirements. Anonymized data is never used to train or fine-tune the underlying AI models, or any third-party, foundational, or publicly available AI model. Once deleted from your user account, your personal data is no longer accessible for review by you and is not linked back to your identity.

To ensure compliance with applicable laws and regulations, including financial auditing requirements, we retain certain data for specified periods. This includes financial records, which are kept for up to 7 years, and data used for retargeting, which is retained for a shorter, necessary duration. We also retain anonymized data to support ongoing accuracy review and service quality.

6. Business Transfers

In the event Project Aidra is acquired by, merges with, or sells substantially all of its assets to another company, your data — including anonymized data — may be transferred to the successor entity as part of that transaction. Except as described in this section, we do not sell your personal data. You may request that your data be excluded from such a transfer, or request deletion of your data entirely, at any time by contacting Aidra@projectaidra.net.

7. GDPR and CCPA Compliance

We are committed to complying with the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other applicable data protection laws and regulations. Under CCPA/CPRA, you have the right to opt out of the sale or sharing of your personal information; see Section 6 (Business Transfers) and Section 8 (Data Subject Rights) for how this applies to Project Aidra.

8. Data Subject Rights

You have the following rights regarding your personal information for as long as Project Aidra hosts or controls data created by you. Project Aidra will protect and honor your right to the following:

  • Right of Access: You have the right to request access to your personal information.
  • Right to Rectification: You have the right to request that we correct any inaccuracies in your personal information.
  • Right to Erasure: You have the right to request that we delete your personal information.
  • Right to Restriction of Processing: You have the right to request that we restrict the processing of your personal information.
  • Right to Data Portability: You have the right to receive your personal information in a structured, commonly used, and machine-readable format.
  • Right to Object: You have the right to object to the processing of your personal information.
  • Right to Opt-Out of Transfer: You have the right to opt out of your personal data being included in a transfer to a successor entity in the event of an acquisition, merger, or sale of company assets (see Section 6, Business Transfers).

9. User Responsibility for Data Compliance

While we take measures to protect your data and comply with data privacy regulations, you are responsible for ensuring that the data you provide to us and use in connection with the Services is legally compliant. This includes obtaining any necessary consents and complying with any applicable data protection laws.

10. Your Privacy Choices

You have the following choices regarding your information:

  • Access and Correction: You can access and update your information by logging into your account or contacting us.
  • Do Not Sell or Share My Personal Information: Project Aidra does not sell or share your personal information except as described in Section 6 (Business Transfers). You may opt out of any such transfer at any time by contacting Aidra@projectaidra.net.
  • Marketing Communications: You can opt out of receiving marketing communications from us by following the unsubscribe instructions provided in the communication. Please note that you may continue to receive transactional or service-related communications from us, such as account updates or support messages, even if you opt out of marketing communications.
  • Cookies: You can manage your cookie preferences through your browser settings.

11. Data Security

We take reasonable measures to protect your information from unauthorized access, use, or disclosure. However, no method of transmission over the Internet or method of electronic storage is completely secure. Therefore, we cannot guarantee the absolute security of your information.

12. Children’s Privacy

Our Services are not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe that your child has provided us with personal information, please contact us.

13. International Data Transfers

We may transfer, store, and process your information in various countries around the world, which may have data protection laws that differ from those in your country of residence. By using the Services, you acknowledge and agree to this transfer, storage, and processing.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post any changes on our website and notify you as required by law.

15. Third Party Data Storage

Our databases are hosted and maintained by third-party service providers. We select these providers carefully and require them to maintain reasonable security standards. Nevertheless, the security of data stored with third parties is a shared responsibility. While we take precautions and monitor our providers, we cannot guarantee the absolute security of their systems. We encourage you to read their policies to understand their data handling and security practices.

Our third-party database hosting providers are expected to adhere to high security standards, including maintaining secure internal password policies. It’s important for you to understand, however, that we do not control their internal security practices and cannot be held responsible for breaches that occur on their systems. We recommend reviewing their individual security policies for more information.
